Faculty contribute to student success by recording their lectures and making them available to students through Canvas. Due to storage cost issues, UAH must limit the number of hours of videos in the active storage and instead store videos not being actively used in an archive for a limited period.
Additionally, UAH鈥檚 LMS contains an abundance of course content dating back several years, which ballooned considerably during the pandemic response. Maintaining a system with this many holdings requires additional costs due to maintenance, upgrade, and support processes, which are also potentially fallible. Users can also face performance and workflow issues with large cumbersome course lists.
New privacy regulations around the world require that user data be kept for specific reasons and that it be removed upon request unless countermanded by a valid reason.

Panopto
Best Practices for Panopto Video Maintenance
- During the semester: Record your lectures. This is a valuable tool for students; they are able to review portions of the class they did not fully comprehend.
- At the end of the semester: Review your videos.
- Do you want to reuse them next semester?
- Could you use them in the future but are not sure how or when? If yes, then allow them to be archived. Videos are stored for at least a year and are recovered in no more than 24 hours.
- Do you wish to retain a video for personal reasons? Then download it to be stored on your personal device.
- If you don鈥檛 see any reason to keep the videos from the past semester, then delete them from the folder.
- Do you record Zoom meeting? If so, go to the Meeting Recordings folder in your personal UAH Panopto account and review those. Every Zoom recording you make using your UAH account is copied into your Meeting Recordings folder. Review and download any video you want to keep. Delete any that you do not need.
Timing of Panopto Archiving Events
All Panopto videos not in Master Courses or Parent Courses will be archived. In any given year, videos created from August 1st till December 31st will be archived in August of the next year; and videos created from January 1st till July 31st will be archived at the end of the following January.
All videos archived will be available to be restored for at least one (1) year. To restore a video, email helpdesk@uah.edu with the course title, semester, and name of the video needed.
Canvas
Best Practices for Canvas Course Maintenance
To maintain courses you will reuse in future terms, copy courses that you plan to reuse into the next term course shell or into a Parent or Master course.
Timing for Canvas Archiving Events
Canvas courses will be subject to archival from the system after two (2) years. Canvas archiving will take place annually each January following the video archiving event.
